Set Up Additional Polices as Required

In some cases, you may want stricter controls on certain objects. For example, many of our public companies create a specific policy for SOX related searches, since they want it tighter than Log Only for those objects. To set up object specific policies, the initial spider must be complete, so you can attach the Customization Record to the policy.

To set up additional policies:

  1. Select the Strongpoint Tab.
  2. Click on Change Management.
  3. Choose Strongpoint Change/ Approval Policy.
  4. Select new and enter the following settings:
  • Header: Enter a name (i.e. SOX Searches Controls)
  • Change Controls: The settings below are a sample, but is the most likely version to increase control of searches.

User Role Related Objects: Objects that are used as default views, forms and search results by any role.

  • IT Policies: Enter the names of the people who will be the preliminary and final IT approvers.
  • Customization Policies Subtab:

- If the owner of the customization needs to approve any changes, check the box.

- Attach the customizations to the policy in the bottom of the tab.

Adding Objects to the Policies

Attaching customizations to the policy is how Strongpoint knows that a particular policy should be applied to specific objects. In the event that there are multiple policies applied to specific objects, Strongpoint will always pick the higher change level in order for the change to be compliant.

Option 1: Inline Edit

For up to 50 objects, create a Saved Search of type Customization.
  1. Add the Field Change/Approval Policy to be included in the results.
  2. Use whatever criteria is required to find the objects you want to specify.
  3. Run the Search.
  4. Use NetSuite’s inline editing functionality to attach the objects to the appropriate policy.

Option 2: Mass Update 

Mass update is another way to quickly make changes to objects particularly if you have a large number of them. We have documented the settings you need to use for the mass update, but to find out more about creating and managing mass updates, please see NetSuite Help for more details.

  1. Go to Lists.
  2. Click on Mass Updates.
  3. Open General Updates.
  4. Select Customization.
  5. Enter the search criteria and other details as appropriate.
  6. In the Mass Update Fields Subtab, find the Change/ Approval Policy Field. (You can use your browser’s Find function.)
  7. Check the box and select the Policy.
  8. Save and run the Mass Update.
  • Management Policies Subtab: If someone other than the object owner should approve changes, add them on this subtab.

5. Save the Strongpoint Change/ Approval Policy.
