3. Start Documenting Your Account

While NetSuite is flexible and powerful, your account can quickly become out-of-sync and cluttered with unused or undocumented customizations. Flashlight's spider creates a searchable database of your customizations and displays them visually. This gives you

  • Rapid results in a few days, or faster, with minimal impact on system performance

  • Complete catalog all custom fields, scripts, forms, reports, records, workflows and templates

Once the spider is kicked off, your account will be documented over the next 3-5 days with minimal impact on system performance. If you have concerns about your script thread capacity or you have only one thread then we recommend that you kick-off the spider on a Friday evening or over the weekend.

Spider Kick-Off

Flashlight's spider documents your account by analyzing all customizations in the system. The following steps describe how to kick off your first spider.

  1. From the NetSuite main menu go to Flashlight --> Tools and click on Spider.

If you are receive a NetSuite alert about segment preferences, then it means that you update to set the list segment preferences in your account so that the spider can function properly. Please follow these steps in our Installation & Configuration chapter. Please do not update the field during the following three to five days that the spider is running. You are now able to start your Spider!


  1. Set the following fields
  • Update or Respider: Set this field to Respider All Records - SLOW. 
  • Select a Record Type: Set this field to All

These values are required in order to document the entire account for the first time.

  1. Click the Start Spider button. The yellow gears will start spinning to indicate that the spidering process is in progress. The initial indexing process takes approximately 25 - 40 minutes.

NOTE: During the initial indexing process, it is very important that you keep this window open, do not switch roles, do not switch accounts and do not logout until the gears stop spinning. If you do close this window or switch roles, switch accounts or logout, then you will need to restart the spider process.

Please also note that the indexing process may be interrupted and seem never ending due to internet connection problems, if the indexing process is over 60 minutes and progress is stuck you will need to restart the spidering process.

The indexing status is displayed at the bottom of the screen. Here you will see the specific customizations being processed and documented. Once the indexing is complete then you can close this window. From this point forward, Flashlight's scheduled scripts take care of the remaining documentation process over the next 3 - 5 days.

You will receive a confirmation email once the spider process is complete with instructions on how to use your system documentation to manage your customizations and to keep your account running smoothly.
